The Challenge

An association running six systems — none of them talking to each other.

PBA had Salesforce. They had NetSuite. They had BigMarker for virtual events, a payment gateway for membership fees, Wufoo for intake forms, and a member-facing portal. Every one was a silo. Someone had to manually bridge them — every single time.

Member signups not reaching NetSuite
When a member joined and paid, Salesforce knew. NetSuite didn't. Finance was manually re-entering membership data every week to reconcile invoices and match payments.

Event data living only in BigMarker
Registrations and attendance data never fed back to Salesforce member records. PBA had no idea which members were engaging with events and which weren't — so they couldn't act on it.

Payment gateway operating in isolation
Membership fees and event registration payments were processed but never automatically linked to the right Salesforce contact or NetSuite invoice. Every payment needed manual matching.

Wufoo form submissions lost in transit
Member intake forms in Wufoo were submitted but only viewable inside Wufoo. Coordinators manually copied responses into Salesforce — lag, errors, and duplicates every week.

Every membership transaction synced to accounting the moment it happens

The most critical integration. When a member pays — new membership, renewal, or event registration — Salesforce creates the record and immediately pushes a corresponding contact and invoice to NetSuite. Finance has real-time visibility of every transaction without touching Salesforce. Month-end reconciliation dropped from a two-day process to a one-click export. No more spreadsheet cross-referencing. No more data entry. No more discrepancies between what Salesforce says and what NetSuite says.

Event registrations, attendance, and re-engagement all automated through Salesforce

PBA runs virtual events and industry webinars through BigMarker. Before Amroar, registrations lived only in BigMarker and attendance data was never acted on. Now every registration syncs to the member's Salesforce record. Attendees trigger one re-engagement sequence. No-shows trigger a different one. Members who engage across multiple events are automatically flagged for high-value outreach — all without a coordinator having to look at a BigMarker dashboard.

Payments captured, matched, and actioned without a human in the loop

Every transaction flows through the payment gateway and lands simultaneously in Salesforce and NetSuite. Failed payments trigger an automated recovery sequence — timed emails and an internal alert if the member doesn't re-engage within seven days. And every Wufoo form submission now creates or updates a Salesforce contact record on submission, with no coordinator intermediary. The lag, the errors, and the duplicate records are gone.
