The Challenge

A high-volume insurance sales team operating without a connected CRM.

Insurance sales runs on conversations — calls, texts, follow-ups, quote discussions. W. Long had HubSpot but none of those conversations were being captured in it. Sales reps were working off memory and personal notes, management had no pipeline visibility, and leads were being contacted multiple times by different reps because nobody knew who had spoken to whom.

Sales calls never logged in HubSpot
Every call happened outside HubSpot. Reps dialled from their phones, took notes on paper or nowhere, and the CRM contact record had no activity history. There was no way to know who had been called, when, or what was discussed.

SMS follow-ups happening outside the CRM
Reps were texting prospects from personal phones. Those conversations were invisible to management and never linked to the HubSpot deal record. Two reps could be messaging the same prospect with different information at the same time.

No pipeline reporting or sales visibility
Management had no live view of deals in progress, conversion rates by stage, or rep performance. Weekly reporting was manually assembled from disconnected data — time-consuming, always out of date, and never actionable.

Follow-up sequences entirely manual
